Thank you for choosing me to capture such a special time in your family’s life. The following information outlines the booking process and terms for your newborn photography session.
Booking Your Session
Due to the limited number of newborn sessions I offer each month, it is strongly recommended that you provisionally book your newborn session during pregnancy.
Your session will be scheduled based on your expected due date, with the aim of photographing your baby ideally within 5–10 days after birth, when newborns are naturally sleepy and beautifully curled.
Once your booking has been confirmed, you will receive a confirmation message containing all the information you will need for your session.
As babies rarely arrive exactly on their due date, I kindly ask that you inform me within 48 hours of your baby’s arrival so that your session can be confirmed or adjusted if required.
If your baby arrives earlier or later than expected, every effort will be made to accommodate a suitable alternative appointment.
Security/Booking Deposit
A £99 or £199 deposit, depending on your chosen package, is required at the time of booking to confirm your agreement and secure your session. The deposit helps cover my time in the event that the session is missed or cancelled without at least 48 hours notice.
If you have booked a Maternity Package and baby arrives early then any deposit paid will be put as credit towards a newborn package.
Session Timing
Newborn sessions allow up to 3 hours of session time, with an additional 30 minutes setup and pack away time. This allows plenty of time for feeding, soothing and settling your baby if needed.
All sessions are completely baby-led, ensuring your little one remains comfortable and relaxed throughout the experience.
If your baby is particularly unsettled and the session cannot be completed within the allocated time, an additional fee of £25 per hour may be charged.
Alternatively, a second session on another day may be offered for a fee of £50 for the first hour, with an hourly rate of £25 charged thereafter if required.
Rescheduling Your Session
A minimum of 48 hours notice is required if you wish to change your session date.
If your baby arrives significantly earlier or later than expected, we will work together to arrange the most suitable alternative appointment.
Late Cancellations
As I only offer a limited number of newborn sessions per month, last minute cancellations may result in the loss of a valuable session that could have been offered to another client. If an appointment is cancelled without a min of 48hrs notice, the first £50 of any deposit paid will be forfeited, or the balance to be paid and a further date secured. Please note: Any deposit paid in advance at the time of booking is a security deposit and is NON Refundable.
Cancellation Policy
Should you wish to cancel your session completely, a minimum of 21 days notice is required. A £50 cancellation fee maybe deducted from any deposit taken to cover a valuable appointment lost.
Cancellations made with less than 14 days notice will result in the full security deposit being forfeited.
Digital Image Sizes
Digital images supplied can be printed in the following sizes:
6” x 4” / 9” x 6” / 12” x 8” / 8” x 8” if the chosen image is a square crop.
Clients have the option to upgrade their images to larger, high-resolution files for an additional £100, unless this upgrade is already included in the chosen package. These larger files are ideal for printing large wall artwork and display pieces.
Image Usage & Copyright
All images created during your session remain the copyright of your photographer, Nichola Malone.
The client is granted personal printing rights for the purchased digital images. This allows images to be printed for personal use and shared with family and friends.
Images may also be shared on personal social media accounts, however they must not be altered, edited, cropped, filtered or used for commercial purposes without prior written permission from the photographer.
Unless otherwise requested in writing by the client, Nichola Malone reserves the right to use selected images from the session for portfolio purposes, including use on the website, social media platforms, studio samples, marketing material and promotional publications.
If you would prefer for your images not to be used for marketing or promotional purposes, please inform the photographer prior to your session and your request will of course be respected.
Session Duration
Session time is dependant on the package chosen. Additional time will be charged accordingly as detailed in the package option details.
Image Upgrades
Additional digital images are available to purchase separately.
You also have the option to upgrade your images to larger, high-resolution files for an additional £100, unless this upgrade is already included within your chosen package. These larger files are ideal for printing large wall artwork and display pieces.
If you have kindly agreed to take part in a model shoot, this means you are allowing me to use the images captured during the session for my portfolio, website, social media platforms and within my studio for promotional purposes.

Image Usage Permission
By agreeing to take part in a model session, the client grants Nicky Malone Photography full permission to use any images taken during the session for advertising, marketing and promotional purposes.
This includes use on social media platforms, the business website, printed marketing materials, studio displays and promotional publications.
No personal details such as names or contact information will ever be shared alongside the images.
